Sales Administrator

Our client is recruiting for the position of Sales Administrator. The Sales Administrator will provide support for the sales team in respect of administration, following up of quotes and driving the various systems involved in the sales process. A dedicated, methodical and self-driven person is required who will take ownership and accountability of the task at hand and will perform their duties and responsibilities within the systems provided.

Duties and Responsibilities:

  • Creating and sending quotations to customers
  • Following up on outstanding quotations and providing ongoing feedback to the applicable Salesperson
  • Driving the sales order process
  • Creating sales orders
  • Following up with the Procurement Department on purchase orders that need to be created
  • Generating invoices and delivery notes once inventory items have been received
  • Following up with the Distribution Department on parts that need to be delivered or collected
  • Answering telephone calls for the Sales Department and directing calls to the correct Salesperson
  • Distributing incoming sales enquiries from the helpdesk email to the correct Salesperson
  • Providing routine assistance in the administration of the Sales Department
  • Maintaining records, reports and files
  • Preparing and analysing reports
  • Entering, accessing or retrieving data using computer systems
  • Undertaking additional responsibilities as required by business operations, including:
  • Performing procurement-related functions
  • Preparing minutes of meetings
  • Drafting various forms of correspondence
  • Capturing data
  • Performing Personal Assistant tasks such as arranging meetings
  • Providing strong customer service to customers
  • Providing feedback on the status of orders
  • Resolving issues related to incorrect deliveries
  • Resolving issues related to the return of goods

Minimum Requirements:

  • Matric essential, tertiary qualification beneficial
  • At least 3 to 5 years experience as a Sales Administrator
  • Strong Microsoft Excel experience, including formulas and formatting
  • Strong Microsoft Word experience
  • Experience with Pastel Evolution is preferred
  • Driver’s license and own transport
  • Basic technical knowledge on parts would be preferred
  • System driven and methodical in organizing paperwork
  • Able to work in a team and bring a positive atmosphere
  • Must be able to work well under pressure
