We’re accepting applications for the position of Sales Administrator. The purpose of this position will be to provide essential support to the sales team and ensuring the smooth operation of sales activities. This will include taking responsibility for maintaining accurate records and assisting in achieving sales targets.
Duties and Responsibilities:
- Processing sales orders accurately and efficiently while ensuring all required information is complete and co-ordinating with various departments to support timely order fulfilment
- Amending errors on sales orders as instructed by the Sales Consultant
- Processing credit notes accurately within the system
- Generating and processing Rep to Take and Store to Collect orders while ensuring accuracy and completeness
- Ensuring invoices are printed on the same day
- Ensuring all approvals are obtained in accordance with the sales order process
- Generating and processing pallet orders
- Providing administrative support to the sales team
- Addressing discrepancies or issues with the Sales Administrator Supervisor
- Maintaining up to date records of all new store and department accounts
- Maintaining up to date records of all invoices processed
- Contacting the Sales Consultant daily to review outstanding orders and finalise out of stock items
- Providing daily reports to the sales team
- Preparing high value orders for dispatch while ensuring accuracy in product, quantity and packaging requirements
- Obtaining and recording Driver confirmation of stock receipt while ensuring both physical and digital acknowledgement of stock transfer
- Monitoring stock levels and liaising with the Procurement Department to report discrepancies or stock shortages
- Standing in for Recipients during leave periods when required as instructed by the Regional Sales Manager
- Adhering to policies and procedures while ensuring compliance across all aspects of the role to maintain integrity and uphold organisational standards
Minimum Requirements:
- Matric and a Diploma in Marketing, Business Administration or a related field
- At least 3 to 5 years experience in sales support or adminnistration
- Experience in the packaging industry
- Strong knowledge of order processing and CRM systems
- Strong organizational and multitasking abilities with excellent diligence
- Exceptional communication and interpersonal skills
- Ability to prioritize tasks and work under pressure
